Authorisations Pop-Up

To view the Authorisations pop-up, click on the zoom icon in the Authorised column in the Batch List grid for On-Premise, or the pencil icon in the Web UIs. The authorisations pop-up window allows you to review batches.

This window shows each batch’s status, with filters for All, Pending, or Authorised batches. Authorisation happens sequentially across levels 1, 2, and 3, each requiring approval before the next. Once partially authorised, a batch cannot be edited; if changes are needed, preceding users must de-authorise their levels.

Key fields include Batch Number, Bank code, Approved status, Total Debit, Total Credit, Date Created, and Type, supporting efficient batch tracking and management.

Note: If the 'Show Posted and Deleted Batches' filter is selected in Batch List, the Authorisation Pop-Up will display all posted, deleted, and pending approval batches.

Batch Finder

Enter the batch number or use the finder to select the batch number to display.

Authorised Status

Use the Authorised Status drop-down to filter by the authorisation status of the batches:

  • All - Select this option to display all batches, regardless of authorisation level or whether the batches are authorised or pending.
  • Pending - Select this option to display batches that are pending authorisation.
  • Authorised - Select this option to display all authorised batches.

After selecting the desired Authorised Status and Level, click the Go button to apply the filter and view batches with the selected Authorised Status and Level.

Level

Select this option to display batches based on the chosen Authorised Status. 'Pending' will show batches needing authorisation at the selected level, while 'Authorised' will show batches that have been authorised at that level.

Batch Number

The number assigned to the batch.


Note: In the Batch Number column, click on the zoom icon to drill down and review the batch or, if using Web UIs select the pencil in the Batch Number column. This allows you to ensure that all entries are correct before authorising the batch.

Bank

The Bank Code applicable to the batch.

Authorisation 1

This is the first user to authorise the batch. The username of the authoriser is pre-filled in this column.

Approved

This is the column where the authorisation status is displayed. If the batch has been approved, it will show a value of 'Yes' in this column.

Authorisation 2

This is the second user to authorise the batch. The username of the authoriser is pre-filled in this column.

Approved

This is the column where the authorisation status is displayed. If the batch has been approved by the second user, it will show a value of 'Yes' in this column.

Authorisation 3

This is the third and final user to authorise the batch. The username of the authoriser is pre-filled in this column.


Note: For EFT batches, once the last user authorises and the batch is Authorised, the Ready to Post flag will be set.

For non-EFT batches, the last user to authorise the batch will be prompted with: "The authorisation of this batch is now complete. Would you like to post this batch?" Select 'Yes' to post the batch.

Approved

This is the column where the authorisation status is displayed. If the batch has been fully approved by all users, it will show a value of 'Complete' in this column.

Total Debit

Total of all the Receipt Amounts in the batch.

Total Credit

Total of all the Payment Amounts in the batch.

Date Created

The date the batch was created.

Type

This column displays the type of batch, allowing the user to identify the batch type.

Refresh

Select the refresh button to update the list of unauthorised batches in the Authorisations pop-up grid.

Close

Select the Close button to close the Authorisations pop up.
