Authorisations

To set up batch authorisations, go to C/B Setup | Bank Accounts | Security tab. Authorisations can be configured by bank, requiring up to three users to approve a batch before posting or printing cheques/receipts. Authorisations can apply to Normal, Transfer, or EFT batches, and for EFT, you can force the printing of an audit list to verify bank details. Ensure to have the Security checkbox checked to view the authorization grid.

Transfer Batches, Adjustment Batches, RecXpress Batches, and Reversal Batches will always display N/A for authorizations, as they are not included in this process. Batches with a debit amount will also show N/A. If you have selected EFT Only, then only EFT Batches will display 'No', 'Yes', or 'Partial' for authorisations, while all other batch types will show N/A.

If the Number of Authorizations is set to One, the Level will default to One and cannot be changed. If set to Three, you must have three levels of authorization: User 1 (Level 1), User 2 (Level 2), and User 3 (Level 3). If a user is unavailable (e.g., User 3), an override can be configured so that User 1 can authorize at Level 3.

Authorisation and unauthorisation must occur in sequence. If User 1 finds an error, User 3, then User 2, and finally User 1 must unauthorise before the batch can be edited.

To approve a batch, navigate to C/B Batch List, double-click 'No' in the Approved column next to the user's name, and it will change to 'Yes,' indicating the batch is approved.


Note: Once the batch is approved, the user will not be able to edit it unless the batch is unauthorised.
